Your Lease Application Form Is Talking—Is It Saying Enough?

A poorly designed application form can create confusion, missed verifications, inconsistent documentation, and audit findings. Over the years of reviewing sample forms for different management companies and reviewing countless resident files, I have seen many challenges arise from the application form itself.


The application isn’t simply an intake document. In reality, it serves as the foundation of the household's story. If the application is incomplete, unclear, or missing important questions, the entire certification process becomes more difficult. Missing information often leads to additional follow-up and need for clarification documentation all which wastes valuable time and can cost you the move in.


Here are some tips for creating a compliance-friendly application form.  


A Good Application Establishes:

  • Household composition

  • Sources of income and assets

  • Student status

  • Anticipated changes to household composition, income/assets, or student status

Important Household Composition Questions:

  • Ask about all household members, identification and relationship information

  • Are all household members residing in the unit 100% of the time?

  • Are there any temporarily absent household members?

  • Do you anticipate any changes to this composition within the next 12 months?

Household composition questions are critical because occupancy status, absent household members, and anticipated changes can impact eligibility determinations. 

Important Income and Asset Questions:

  • Gig income (Uber, Lyft, DoorDash, Instacart, etc.)

  • GoFundMe accounts

  • Cash App accounts

  • Payroll deposit cards

  • Online bank accounts

  • Cryptocurrency

  • Gambling winnings (betting apps)

  • Recurring financial assistance from family or friends

These questions are not included on many applications and often appear later through verifications or supporting documentation.

Important Student Status Questions:

  • Is any household member currently a full-time student?

  • Is any household member currently a part-time student?

  • Does any household member anticipate being a student during the current or upcoming calendar year?

Student status is often misunderstood by applicants.  Be sure that you either explain who is considered a student on the application form or on a separate student status certification form.


Avoid Open-Ended Questions

Questions should not be open-ended.  "List your sources of income and assets" questions are not effective. Applicants often do not understand the difference between countable and non-countable income or assets and therefore may not disclose all relevant information. They will only list what they believe is applicable.


Open-ended questions also lead to blank spaces on applications, which hopefully we all know is a big "no-no" during a file review. Questions should be formatted as Yes/No questions. If the answer is "Yes," there should be space to provide additional details. This approach creates more complete applications, reduces follow-up questions, and improves documentation consistency.


Don't Assume Required Forms Are Enough

Some state monitoring agencies or investors may require the use of a specific application form. However, do not rely on those forms alone.

Review the required form to ensure it captures all information needed for your programs and compliance processes. If it does not, you may need permission to modify the form, use an alternate version, or supplement it with an additional questionnaire.


Final Thoughts

Take a few minutes today to review your application form (and other forms, for that matter) and ask yourself:


How many times have we had to obtain clarification documentation because of the way our form is worded?


If the answer is "often," it may be time for an update.  A strong application does more than collect information. It guides the certification process, supports consistent documentation, and helps tell a complete household story from the very beginning.
